Administrative Assistant

About the role

We're looking for an organized and reliable Administrative Assistant to support our restaurant's daily operations. This role will manage invoice processing, payroll, weekly inventory ordering, and recruitment. The ideal candidate is comfortable managing deadlines and coordinating with managers and vendors.

Schedule requirements: on-site availability 5 days a week at our Happy Tuna Hudson Yards location.

Your responsibilities will include

• Invoice processing: collect and scan invoices received at the restaurant, enter and process them in Restaurant365, verify accuracy, and resolve discrepancies with vendors or management.
• Payroll: review employee hours and time records, coordinate corrections with managers, and process payroll accurately and on schedule.
• Inventory ordering: work with the warehouse manager to review inventory lists and determine weekly needs. Place orders for the restaurant and follow up on deliveries, shortages, or incorrect items.
• Recruitment and hiring: identify upcoming staffing needs with management, post job openings, and coordinate hiring.
• Administrative support: maintain organized records, handle confidential employee and financial information, and assist with other administrative tasks as needed.

We're looking for someone with

• Strong organizational skills, attention to detail, and the ability to manage multiple deadlines.
• Clear communication skills and confidence working with employees, managers, vendors, and job candidates.
• 1-2 years of experience preferred.
• Proficiency with spreadsheets, email, and general office software.
• Bachelor's degree preferred.
• Experience with inventory ordering or recruitment is a plus.
